Notifications & Daily Reports

Keep your team on track with push notifications and daily email summaries. Set up reminders for temperature checks, deliveries, cleaning tasks, and receive automated compliance reports each morning.

Overview

SmartChef notifications help you and your team stay on top of daily tasks without having to remember everything. Set up reminders for common activities like morning temperature checks, delivery inspections, or cleaning schedules, and SmartChef will send a push notification to remind everyone at the right time.

Three Ways to Stay Informed

  • Push notifications appear on your device even when SmartChef isn't open
  • In-app notifications appear in the bell icon inside the app
  • Daily email reports deliver a compliance summary to your inbox each morning

How It Works

The notification system has two parts:

Admin Creates Reminders

Account owners and admins set up what notifications to send and when. This is done once in the Setup Hub.

Team Members Opt In

Each team member chooses to receive notifications on their own device. This is done in their Profile settings.

For push notifications to work, SmartChef needs to be installed as an app on each device. This is called a Progressive Web App (PWA) and works on iPhones, Android phones, tablets, and computers.

Admin Setup: Creating Reminders

If you're the account owner or have admin permissions, you can set up notifications for your whole team.

Getting to Notification Settings

  1. Open SmartChef and go to the Setup Hub
  2. Find the Notifications section
  3. Click to open the notification settings

Setting Up Your First Reminder

  1. Set your timezone - Make sure your business timezone is correct so notifications arrive at the right local time
  2. Choose working days - Select which days of the week your kitchen operates. Notifications will only be sent on these days
  3. Add notifications - You can choose from preset templates or create custom reminders:
    • Temperature Check (Morning) - Remind team to do morning temp checks
    • Temperature Check (Afternoon) - Remind team to do afternoon temp checks
    • Delivery Check - Reminder when deliveries typically arrive
    • Cleaning Tasks - End-of-day cleaning reminder
    • Hot/Cold Hold Check - Reminders for specific hot or cold held items
    • Custom - Create your own reminder with a custom message
  4. Set the time - Choose when the notification should be sent (times are in 10-minute increments)
  5. Save - Your reminder is now active and will be sent to all team members who have enabled notifications
You can override the working days for individual notifications. For example, send a reminder every day even if your global working days are Monday to Friday.

Enabling Push Notifications

Every team member needs to enable notifications on their own device. This is a two-step process:

Install SmartChef as an App

SmartChef needs to be installed as a Progressive Web App (PWA) on your device. This allows it to send notifications even when you're not actively using the app.

Enable Push Notifications

After installing, go to your Profile page in SmartChef and turn on the "Push Notifications" toggle. Tap "Allow" when prompted.

The Notification Bell

Even if you haven't enabled push notifications, you can still see your notification history inside SmartChef.

Using the Bell Icon

  • Look for the bell icon in the top navigation bar
  • A red badge shows how many unread notifications you have
  • Click the bell to see your notification history
  • Click a notification to mark it as read
  • Use "Mark all as read" to clear all notifications at once

Notification History

The bell shows the last 30 days of notifications. Older notifications are automatically removed to keep things tidy.

Daily Email Report

In addition to push notifications, SmartChef can send a daily email summary of your food safety compliance activity. This report is sent automatically each morning and covers the previous day's records.

What's in the Daily Report?

The email includes a summary of all compliance activity from the previous day, including deliveries, temperature checks, cooking records, and cleaning tasks.

Report Contents

Each daily report includes:

  • At a Glance Summary - Shows either "All Clear" (everything passed) or "Review Required" (some checks missed or failed)
  • Food Deliveries (SC1) - Number of items received and temperature check results, plus which suppliers delivered
  • Fridge & Freezer Checks (SC2) - How many units were checked vs. how many should be checked, and pass/fail status
  • Cooking Records (SC3) - Number of cooking records and whether temperature requirements were met
  • Hot & Cold Hold (SC4) - If configured, shows monitoring records for display units
  • Thawing Records (SC91) - Items thawed and whether they met safe temperature limits (≤5°C)
  • Kitchen Cleaning (SC10) - Daily cleaning task completion and days since last weekly clean

Enabling the Daily Report

Account owners and admins can enable the daily email report:

  1. Open SmartChef and go to the Setup Hub
  2. Find the Account Settings section
  3. Turn on "Send Daily Report"
  4. Enter the email address where reports should be sent
  5. Save your changes
The daily report is sent in the early morning (around 1:00 AM) and covers activity from the previous day. You'll have it in your inbox when you start work.

Understanding the Summary

✅ All Clear

All compliance checks were completed successfully. No action required.

⚠️ Review Required

Some checks were missed or failed. Review the details in the email for specifics.

No Activity Days

If no compliance records were logged on a particular day, you'll still receive a report confirming that no activity was recorded. This helps you spot days when the app wasn't used, which might indicate a missed shift or a day when records weren't entered.

The daily email is separate from push notifications. You can use one, the other, or both depending on your needs.

Troubleshooting

Check the following:

  1. Is SmartChef installed as an app? Push notifications only work when SmartChef is installed as a PWA, not when accessed through a regular browser tab.
  2. Did you enable notifications in your Profile? Go to Profile and make sure the Push Notifications toggle is on.
  3. Did you allow notifications? When you first enable notifications, your device asks for permission. If you denied it, you'll need to enable it in your device settings.
  4. Are notifications enabled on your device? Check your phone/computer's notification settings for SmartChef or your browser.
  5. Has your admin set up reminders? Ask your admin if any notifications have been configured in the Setup Hub.

You'll need to manually enable notifications in your device settings:

  • iPhone/iPad: Settings > SmartChef > Notifications > Allow Notifications
  • Android: Settings > Apps > SmartChef > Notifications > Enable
  • Windows: Settings > System > Notifications > Find Chrome/Edge and enable
  • Mac: System Settings > Notifications > SmartChef > Allow Notifications

After enabling in settings, return to SmartChef and turn the toggle on again.

Check these settings:

  • Timezone: Make sure your business timezone is set correctly in Setup Hub > Notifications. Notifications are sent based on this timezone.
  • Device time: Ensure your phone/computer's date and time are set to automatic.
  • Battery saver: Some devices delay notifications when in power-saving mode. Try disabling battery saver or adding SmartChef to the exceptions list.

  • Wrong browser: On iPhone, you must use Safari. On Android, use Chrome.
  • Already installed: If SmartChef is already installed, the option won't appear.
  • Private/incognito mode: PWAs can't be installed from private browsing windows.

Notification sounds depend on your device settings:

  • Make sure your device isn't on silent mode
  • Check that notification sounds are enabled for SmartChef in your device's notification settings
  • On iPhone, SmartChef uses the system default notification sound
